The winter season has started, and for a UAE rental company it arrives on the phone. A family landing at DXB on Friday wants an SUV for a week; a business visitor needs a sedan delivered to a hotel in Business Bay tonight; a resident wants a monthly car while theirs is in the garage. They write on WhatsApp, often at night, often in their own language, and the company that sends a clear price first usually gets the booking.
This guide looks at what renters ask, the documents and deposits that slow bookings down, and how to run the whole desk on WhatsApp, from the first quote to the return, with Rental Desk Assistant in MonoChat.
The season in numbers
Dubai’s Department of Economy and Tourism reported a third record year in a row (Dubai Media Office, 9 February 2026):
- 19.59 million international overnight visitors in 2025, up 5% from 18.72 million in 2024.
- December 2025 was the first month above two million visitors, with 2.04 million.
- Hotels were 80.7% full on average, across 154,264 rooms.
- Visitors came from everywhere: Western Europe 4.1 million (21%), the GCC 2.99 million, CIS and Eastern Europe 2.89 million, South Asia 2.89 million, MENA 2.17 million, the Americas 1.40 million.
For a rental desk that means three things. Demand peaks from now to January. A large share of renters are visitors who need different documents from residents. And they write in many languages, so a desk that answers only in English, only in office hours, loses bookings to one that answers at once.
What renters ask before they book
The same questions arrive every day:
- How much for these dates? The day rate, the total, what is included, whether there is a discount for a week or a month.
- What do I need to bring? Licence, passport, visa, credit card.
- Can you deliver? To the airport, a hotel, an apartment.
- What about the deposit? How much, blocked or charged, and when it comes back.
- What if something goes wrong? An accident, a flat tyre, a lost key.
Gulf News’ guide for tourists (updated 23 December 2025) answers the general rules: a valid passport and a tourist or visit visa; the home driving licence, accepted for visitors from more than 30 countries and the GCC, or an International Driving Permit together with the original licence; and usually a credit card in the driver’s name. The minimum age to rent is 21, and some companies ask for 25 or more for luxury and high-performance cars. The deposit is usually blocked on the card, not charged, and can cover traffic fines, Salik tolls and damage; the guide says it should be released within 30 days of the return if there are no violations or damage. Third-party insurance is included by law, and collision or zero-excess cover costs extra.
Your own rules sit on top of these, and each one is a question your desk answers many times a day. That is the work an assistant can take.
How Rental Desk Assistant works
Rental Desk Assistant is an app from MonoStore, MonoChat’s app store. It is the booking desk of a rental company (city offices, airport desks, delivery to hotels and homes) on WhatsApp, Instagram and web chat, around the clock, in the renter’s own language, including voice messages.
Prices it works out, never guesses. It calculates the price the same way every time from your own numbers: the day rate per car class, season changes, length discounts, the young-driver fee, extras, one-way, delivery and out-of-hours fees. It sends car cards with photos, seats, bags, gearbox and the price for those dates.
Two ways to book. Either requests the desk confirms with one tap, or instant confirmation when a car of the class is free, counted from your fleet numbers.
Documents before pick-up. After booking, the renter sends a photo of their driving licence and ID or passport in the chat. The app files them on the renter card, and the Documents screen shows them before pick-up: approve or reject, and a rejected one is asked for again. A returning renter does not send them twice.
Messages that go out by themselves:
- confirmation of bookings the desk confirms or types in;
- the documents still missing, two days before pick-up;
- pick-up details the day before, with All good / Change time / Cancel;
- return reminders with +1 day / +2 days / Another date, where one tap prices the extension and agrees it or asks the desk;
- for monthly renters, another month offered a few days before the return;
- an alert to the desk when a car is late back;
- “How was the rental?”: happy renters get your review link, unhappy ones reach you.
WhatsApp templates are written and submitted on your number for you, and nothing goes out in quiet hours or to anyone who said stop.
Delivery and collection. Cars brought to a hotel or home become jobs on the dispatch board. Give a job a driver and tap On the way and Arrived: the renter is told each time, with the driver’s name.
Damage and roadside. For an accident, breakdown, flat tyre, damage or a lost key, the assistant opens an incident at once, gives the emergency and roadside numbers, asks for photos and a live location, and hands urgent cases to the team. The Incidents screen shows the booking, car, map link and photos, and updates written there reach the renter in the chat.
The desk. Today shows pick-ups, returns, late cars and requests; Planner shows every rental on a calendar, one colour per class; and a reports page shows revenue, fleet use per class, extensions, incidents and ratings.
Set it up, step by step
1. Connect WhatsApp. Connect your number through the WhatsApp Cloud API under Settings › Chat › Channels. MonoChat is an official Meta Business Partner. Add your Instagram account and web chat on the same screen if renters write there too.
2. Install the app. Go to Settings › MonoStore › Apps and install Rental Desk Assistant.
3. Fill in the short form. On the Get started tab of your MonoChat home page, choose Set up your rental company. Pick What kind of rental company? (for example Airport and holiday rental or Monthly and long-term rental), enter your company name, city, address and phone, set the currency to AED and your Desk hours, list your Pick-up locations (put a * after an airport), switch on We also bring cars to hotels and homes if you deliver, and choose How should bookings be confirmed? Tick Also load sample data so I can see it full to see every screen with example records, then click Save and continue.
4. Add your prices. Open Rentals › Car classes and add your day rates and deposits. Check Extras, Seasons (raise the December rates here), Rental rules and Locations, and add your Drivers if you deliver.
5. Write your rules where the assistant can use them. Minimum age, the licences you accept, deposit amounts, the fuel policy and what happens with Salik and fines: the clearer your rules, the fewer conversations need a person.
6. Turn it on. Open Rentals in the left menu, click the green power button (Turn on) and confirm. Then choose Try it on your own phone on the Get started tab and message your own number the way a renter would.

What it costs
Replies to a renter who wrote to you within 24 hours are not charged by Meta. The messages the app sends later, such as reminders and confirmations, are WhatsApp template messages that Meta charges per delivered message, at the AED rates on our pricing page; MonoChat adds no markup. MonoChat’s Basic plan is free and Growth is AED 440.70 a month, taxes included.
